Civil Documents provides international courier delivery for completed document requests as part of our professional administrative assistance services.

This policy outlines how shipping is handled and clarifies responsibilities and limitations.


1. Courier Delivery

All issued civil documents are shipped using reputable international courier services, such as DHL or comparable providers, depending on destination, availability, and operational considerations.

Where available:

  • Courier tracking information will be provided once the document has been dispatched
  • Signature confirmation may be required for certain destinations or document types to enhance delivery security

Courier selection is made at our discretion based on reliability, destination, and service availability.


2. Shipping Costs

Shipping costs vary depending on:

  • Destination country
  • Courier service level
  • Delivery requirements
  • Insurance or shipment protection options

Any applicable shipping charges will be disclosed prior to dispatch.

Government, courier, and third-party delivery fees are separate from our service fee and may vary based on destination and logistics.


3. Delivery Timeframes

Delivery timelines vary depending on:

  • Destination country
  • Courier service selected
  • Customs processing
  • Local delivery conditions

Typical delivery times range from 3–10 business days after document completion, but all delivery times are estimates only and are not guaranteed.

Government processing delays, customs inspections, weather disruptions, political events, strikes, or courier network interruptions may extend delivery times.


4. Tracking

Where supported by the courier, a tracking number will be provided once the shipment has been handed to the courier.

Tracking visibility and updates are controlled by the courier and may vary by destination.


5. Transfer of Risk and Courier Responsibility

Once an issued document has been handed over to the courier:

  • Delivery performance is governed by the courier’s terms and conditions
  • Transit times and handling are outside our control
  • Risk of physical loss or damage transfers in accordance with the courier’s service terms

Civil Documents is not responsible for delays, losses, or damage caused by:

  • Courier disruptions
  • Customs inspections or clearance delays
  • Border or regulatory processing
  • Force majeure events
  • Incorrect or incomplete delivery information provided by the client
  • Failed delivery attempts due to recipient unavailability

Clients are responsible for providing accurate, complete, and deliverable shipping information.


6. Lost or Damaged Shipments

Where available, we obtain shipment protection or insurance offered by the courier at the time of dispatch.

Courier protection generally applies to physical loss or physical damage during transit only and does not cover:

  • The intrinsic, legal, or evidentiary value of documents
  • Consequential losses
  • Missed deadlines
  • Immigration or legal impacts

If a shipment is lost or damaged:

  • We will assist with submitting a claim to the courier, where applicable
  • Any eligible courier compensation may be applied toward re-ordering or replacing the document
  • Replacement is subject to the issuing authority’s reissuance procedures and applicable fees
  • Replacement delivery will be coordinated once a new document has been issued

Coverage limits, eligibility, and claim outcomes are determined solely by the courier and may vary by destination, service type, and shipment lane.

Civil Documents does not guarantee courier claim approval or compensation amounts.


7. Customs and International Delivery

For international shipments:

  • Customs clearance procedures are determined by the destination country
  • Import requirements, local delivery rules, and customs inspections are outside our control
  • Clients are responsible for complying with local import laws

Customs-related delays do not constitute service failure.


8. Force Majeure

Civil Documents shall not be liable for delivery delays or interruptions caused by events beyond our reasonable control, including but not limited to:

  • Government office closures
  • Policy or regulatory changes
  • Strikes or labor disruptions
  • Natural disasters
  • War, civil unrest, or political instability
  • Pandemic-related restrictions
  • Cyber or technical failures
  • Courier network disruptions
  • Customs or border delays

Such events do not entitle the client to a refund solely on the basis of delay.


9. Shipping Locations

We ship to most international destinations where courier services are available.

If you are unsure whether delivery is available to your location, you are encouraged to contact us before authorizing a service.

Shipping availability may be restricted due to government regulations, courier limitations, or security considerations.


10. Limitation of Liability

To the fullest extent permitted by law, Civil Documents’ liability for shipping-related issues shall not exceed:

  • The amount paid for shipping; or
  • The amount recoverable under the courier’s protection or insurance policy

We are not liable for indirect, consequential, or incidental damages arising from delivery delays or shipping disruptions.
