These Terms of Service (“Terms”) govern your access to and use of the websites and services operated by Crabeye Corp, doing business as Civil Documents (“we”, “us”, or “our”).
By accessing or using our websites, including civildocuments.com and civildocuments.online, or by requesting our services, you agree to be bound by these Terms, along with our Privacy Policy, Refund, Cancellation, and Return Policy, and Fraud Prevention & Identity Verification Policy (collectively, the “Policies”). If you do not agree to these Terms, you must not use our Services.
1. Description of Services
Civil Documents provides independent, third-party administrative assistance services to individuals seeking to obtain civil documents from official government authorities.
Our Services may include, but are not limited to:
- Application assistance and document preparation support
- Submission and follow-up coordination
- Status inquiries with registries or intermediaries
- Authentication, legalization, and delivery coordination
We do not issue civil documents and are not a government agency. We are not affiliated with, endorsed by, or acting on behalf of any government authority, registry, embassy, consulate, or law enforcement body.
All official documents are issued solely at the discretion of the relevant government authority.
2. Nature of the Service
Our Services are offered as bundled professional administrative assistance services. Pricing reflects the overall service provided and does not represent a breakdown of internal costs, margins, or third-party processing costs.
Where applicable, government fees are disclosed separately. Government fees are set by issuing authorities and may change without notice.
Service fees charged by Civil Documents are for administrative assistance only and are separate from government, courier, authentication, embassy, or other third-party fees.
3. Client Responsibilities
By submitting a request or authorizing a service, you confirm that:
- All information and documentation provided is accurate, complete, and lawful
- You are the subject of the requested document or are legally authorized to request it
- You have reviewed and approved all submitted details before authorizing us to proceed
- You understand that government requirements, timelines, and decisions are outside our control
You agree to comply with our Fraud Prevention & Identity Verification requirements.
Providing false, misleading, incomplete, or fraudulent information may result in:
- Immediate suspension or termination of service
- Cancellation of the request
- Forfeiture of service fees where work has commenced
- Reporting to appropriate authorities where legally required
4. Service Limitations
Our role is limited to administrative assistance and facilitation only. We do not:
- Guarantee document approval or issuance
- Guarantee processing times
- Provide legal advice
- Influence decisions of government authorities
Government-imposed delays, denials, additional documentation requirements, or policy changes do not constitute a failure of service.
5. Authorization to Proceed
Work begins only after formal authorization, which may include:
- Written or electronic confirmation
- Submission of required identification
- Instruction to begin procurement
Once authorization is provided, external and non-recoverable costs may be incurred on your behalf.
6. Refunds, Cancellations, and Credits
Refunds are governed by our Refund, Cancellation, and Return Policy.
In summary:
- Full refunds are available only before service authorization
- After authorization, external costs are non-refundable
- Service fees may be non-refundable once work has commenced
- Document issuance is not guaranteed
7. Delivery of Documents and Shipping Risk
Where physical delivery is required, documents are shipped via DHL or comparable international courier services.
- Delivery timelines are estimates only
- Tracking information will be provided where available
- Shipment protection or insurance may be offered where available
Once a shipment has been handed to the courier:
- Delivery performance is governed by the courier’s terms
- Civil Documents is not responsible for courier delays, customs processing, or transit disruptions
- Courier protection typically covers physical loss or damage only and does not cover the intrinsic legal value of documents
Clients are responsible for ensuring delivery addresses are accurate and complete.
8. Privacy and Data Protection
Personal information is handled in accordance with our Privacy Policy.
Information is used solely for:
- Processing your request
- Service communications
- Compliance with legal obligations
We do not sell personal information.
9. Intellectual Property
All website content is owned by or licensed to Crabeye Corp.
No content may be copied, reproduced, or distributed without prior written consent.
10. Disclaimers and Limitation of Liability
To the fullest extent permitted by law:
- We are not responsible for government errors, delays, denials, or policy changes
- We are not liable for courier delays beyond courier protections
- Use of our Services is at your own risk
Our total liability shall not exceed the amount paid for the specific service giving rise to the claim.
11. Governing Law
These Terms are governed by the laws of the Province of Alberta, Canada.
12. Fraud Prevention & Identity Verification
We implement identity verification and fraud prevention measures.
We may:
- Request government-issued identification
- Require proof of authorization
- Pause processing pending verification
- Refuse service where authorization cannot be established
We use a risk-based review process.
We reserve the right to:
- Cancel suspicious transactions
- Report suspected fraud
- Cooperate with lawful investigations
All verification materials are handled securely in accordance with our Privacy Policy.
13. Dispute Resolution and Arbitration
Informal Resolution
You agree to first contact us in writing and attempt informal resolution for at least thirty (30) days before initiating arbitration or legal proceedings.
Binding Arbitration
Any dispute shall be resolved exclusively by binding arbitration in Alberta, Canada, conducted in English.
You waive the right to jury trial and court proceedings, except to enforce an arbitration award.
Class Action Waiver
All disputes must be brought individually. Class or representative actions are waived.
Chargebacks
Before initiating any chargeback, you agree to contact us for resolution.
Improper chargebacks may be contested and may result in recovery of associated fees where permitted by law.
Time Limitation
Claims must be brought within one (1) year of arising.
14. Electronic Acceptance
You agree that:
- Electronic communications satisfy legal requirements for written communication
- Electronic signatures and confirmations are legally binding
- Clicking “Authorize,” “Proceed,” or submitting payment constitutes acceptance of these Terms
You acknowledge that electronic acceptance has the same legal effect as a handwritten signature.
15. Force Majeure
Civil Documents shall not be liable for failure or delay in performance caused by events beyond our reasonable control, including but not limited to:
- Government office closures or delays
- Policy or regulatory changes
- Strikes or labor disputes
- Natural disasters
- Pandemic-related disruptions
- War, civil unrest, or political instability
- Cyberattacks or technical failures
- Courier disruptions, customs delays, or transportation interruptions
In such events:
- Service timelines may be extended
- Obligations may be suspended during the disruption
- Refund eligibility will be governed by our Refund Policy
Force majeure events do not constitute breach of contract.
